KU Leuven researcher wants to submit data to EGA

EGA (“the European Genome-phenome Archive”) serves as a repository for storing genomic and/or genetic data.

EGA is a source of permanent and secure archiving and exchange of all types of potentially identifiable genetic and phenotypic data resulting from biomedical research projects. The goal is to provide access to data, encourage data reuse, enable reproducibility, and accelerate biomedical and translational research.

To submit data to EGA, researchers must adhere to the guidelines outlined in EGA's documents. For example, EGA accepts 'de-identified' (pseudonymized) data. More information can be found on the EGA website: https://ega-archive.org/

KU Leuven requires researchers to inform participants about the use of their genomic data for future research and to broadly share this data for secondary research purposes. Informed consent for participation in the research ('ICF') should preferably explicitly and at least implicitly allow the sharing of data via databases that operate with controlled access (meaning that the data will only be made available if certain conditions are met). The researcher is responsible for the content of the ICF. DAC (Data Access Committee) will review the relevant ICF for each application.

Application and evaluation procedure

The KU Leuven researcher submits an application to DAC by completing the application form ("Application Form for KU Leuven researcher who wants to submit data to EGA"):

DAC aims to make a decision within a reasonable period. In the case of a positive decision, DAC will communicate this to the researcher, also requesting:

If the researcher does not yet have an account to submit data:

  • Create an EGA user account.
  • Download and sign the EGA Data Processing Agreement (DPA) as an acknowledgment (internal confirmation of their commitment).
  • Submit the signed DPA to the supporting service, which will ensure co-signature by the authorized signatories for KU Leuven / UZ Leuven.
  • Upload the signed DPA when applying for the submitter role.
  • Register the DAC via the following link: https://ega-archive.org/access/data-access-committee/dac-portal/. Please preferably select the DAC with number EGAC00001003391 (= number DAC UZ Leuven) if there is no involvement of VIB and the data policy with number EGAP00001003462 (= data policy of DAC UZ Leuven).

If the researcher already has an EGA account but does not yet have a submitter role, this role must be linked to the account. To do this, the researcher must first download EGA DPA and submit it to the supporting service, which will ensure that the document is co-signed by the authorized signatories for KU Leuven / UZ Leuven. Finally, the co-signed DPA must be uploaded when applying for the submitter role.

If the researcher already has an EGA account with a submitter role, data can be submitted to EGA. 

Furthermore, we ask that the processing and management of research data take into account KU Leuven's RDM policy (see: https://www.kuleuven.be/rdm/nl/beleid) and the principles stated therein. In particular, care should be taken to ensure that all persons who have made substantial intellectual contributions to a dataset are correctly recognised as authors.
